    1) ADMIN REMINDERS: (can you read these through prior to the meeting.
    For the benefit of new therapists I have included back dated reminders in green from previous online team meetings but there are new reminders in purple – please read and action)

    • Please ensure you use to GOOGLE CALENDER book out your resources which you have.
    • Please ensure to send out reports in a timely manner, please agree the timescale accurately with parents as do not submit a CIR for the report until it has been sent and received by parents
    • Insurance: All therapists must ensure themselves with additional professional indemnity in addition to their RCSLT or BAOT insurance as part of their membership. You will not be able to work with contracted settings without this and some case managers/families will also be requesting this now.

    • Please ensure to think ahead and check with the team if they have an resources you need posting. If not then remember to let Sharron Jones know by Wednesday night, prior to her collection Thursday from head office. Sharron will post out Thursday so you will receive items Friday or Sarturday.
    • Please ensure you come back to new referrals within 12 hours – this is really important as clients will always be shopping around

    • Headed paper/compliments slips – Please can you ensure to send out all reports on the NEW headed paper so our contact details are readily available to those reading the reports. Both the comps slip and headed paper are on the Google Drive. Please ensure to put an ITS logo on all programmes or resources generated with contact details.
    • Client invoice records – can you ensure to put the start and finish times on client invoice. e.g 1.30 – 2.30pm avoid putting just total length of session ie 1 hour.
    • Please ensue your ITS profile reflects all your skills and the description is accurate to describe your clinical strengths. Remember you don’t have to have trained in each of the clinical approaches to list them – as you wont learn these approaches in many cases until you have a client to work with. List approaches and client groups you would feel happy to work with please.
    • Please invite your clients to the appointment on Google calendar as way of reminding them and also ensuring you have evidence that the appointment was agreed between you. This helps if any discrepancies come up.
    • Please ensure to look at the online resources prior to asking for assessments and resources to be sent to you. Many of these can now be downloaded at your fingertips without delay.
    • If you have any resources/assessments to share which can be uploaded, please send them to Abbie asap.
    • Please ensure you book your 1;1 mentoring session

    • Please can you ensure to add Specialist mentoring questions on the thread as you go through each month: http://www.integratedtreatments.co.uk/discussion/11/0/on-line-specialist-mentoring/ It is really important that we provide the mentor with agenda points prior to each session so that they can prep.

    • Please ensure to cc Abbie Newton if you would like a resource uploaded to the resource section to share with the team. On the new site you will be to upload directly

    • Case Managers – had a couple of times recently for ICM, the therapist has agreed to take on the client then pulled out when they’re asked to provide dates to proceed. We appreciate there can be a time gap and we do make case managers aware this can be tricky. But please strike a happy medium between considering the referral and accepting e.g. if not sure, ask us first for more info rather than agreeing then saying no.

    • Biogs on team page – We cant emphasise enough how much these need to be updated and complete; photos, experience, CV etc. Please ensure this is over to Lisa asap. Please ensure your photo reflects you ina professional and positive light.

    • Following up client phonecalls and emails – Please can we all try and check our emails and voicemails each weekday and leave an email signature message and voicemail message indicating what days you will collect emails. I have had a few harassed parents on the phone recently expecting phone calls or emails from one of our therapists. Could you try your best to respond as quickly as possible within 24 hours. Please ensure your clients have your email address and mobile number so they can reach you personally, rather than needing to leave a message in the office.

    • Signature of the bottom of emails. Please remember to copy and paste the following on the bottom of your email (use a live copy and paste though to ensure the links are correct). Please remember to add the days you work/will pick up your emails – take a look at Sarah’s and copy and paste with your personal details added.

    • Client record sheets –please ensure these are emailed to accounts@integratedtreatments.co.uk as soon after the visit as possible but before Sunday pm along with your timesheet and expense sheet.

    • Timesheets/expenses – as above please ensure to scan these to accounts@integratedtreatments.co.uk so there is no time delay in signing and scanning them back to Randstad. Please remember to put the client initials alongside each claim recorded to help Andi tally to CIRS.

    • Please report any breakages so that resources can be replaced.

    • Case note writing ; Just a reminder to try and include your note writing as part of the session, it is fine to spend 15 minutes at the end of the direct work writing up. Parents are far more accepting of this charge being invoiced for, if they see it as part of their session.

    • Case notes – A reminder to send any discharged clients case notes into the office for Sharron to archive. Do ensure you have sent a Discharge duty of care form.

    • Length of visits – A recent observation, which I have made about some therapy sessions is that some have been very short in length. I understand that many client’s concentration and response to therapy may not last longer than 30 minutes, but do remember that the liaison and discussion with parents/teaching staff is an equally valid part of therapy. Of course we need to be aware of parent’s budgets, but it has to be said, that many parents want the level of detail and depth of discussion/therapy ideas. I also want to ensure that therapists are not running themselves ragged squeezing in more visits, when they could be more effective with longer visits and fewer clients. Initial assessments are generally acceptable for 1.5 hours with an hours report writing following this assessment. Some weekly session may still last 1 – 1.5 hours per session.

    • PDP / Clinical supervision: Please do remember that each therapists is responsible for keeping up to date with their PDP and for arranging their own clinical supervision. For non NQPs there are plenty of therapists within the team who you could link up with and carry this out online if preferable.
    .

    • Case Managers – please ensure that you keep active contact with the case manager of a client you are working with. Case managers will require quarterly update reports to allow them to secure the budget for working with their clients. Please ensure you ask Sarah Deaton and Lisa to prepare a proposed costings to send to send to the case manager for each quarters work. If you develop the relationship with the case manager, they are likely to ask for you as a named therapist again. Case manager work is so reliable and frequent – do work hard to build your relationships here.

    • It’s highly important that you sign and return the I.T.S insurance policy – which Sarah Deaton will have sent by Echo sign and also provide a copy of your insurance cover.

    Keep hold of it Aafke, then if someone needs it they will email the team first and you will send on to the therapist, it saves postage sending back and fourth to base if we just keep sending it to the next therapist requesting it you see
    Please make sure you put when you are on leave on your calenders and ensure resources you have are booked out on your calender, that way therapists can look at the calender first to check who has what and check when someone is also away.

    The only think I NEED you all to action is INVITE your clients to thier appointments on your calender please – you can set up a reminder to one day and one hour before the appt to ensure you have evidence that they have been invited 🙂
